Notes Viewer

Purpose:

Free form notes may be added to any record in the system for informational and reporting purposes.

Usage:

The Notes screen is a two-part viewer. The upper section contains header and identification information, while the lower section contains the text of the Note itself.

Important Fields: Upper Section

Summary
This field should be used to summarize the contents of this Note. It will appear on the list view to help you quickly identify the note you wish to access.

Access: Public -  Private - Secure
By default, this field is set to Private. Other users will be not be able to alter your notes, although they will be able to view them. If this field is set to Public, other users will be able to see and alter your notes. Secure notes are designed for system use, and cannot be altered by the user.

A registry setting (see above) many be implemented to deny users the ability to change or delete notes unless they are flagged as Notes Administrator (in the User record).

Priority:
The Priority field is a single digit allowing values of 0-9.  There is a pick list option on the Notes viewer that sorts by Priority. By default, new Notes are assigned a priority of 0. Existing Notes (converted from earlier versions of the software) are also assigned a priority of 0.

Tickle Date:
This field may be used as a follow-up date. It is available for custom reporting purposes.

Note Date: Note Time: User Id:
These display-only fields show the date and time that this Note was initially created, and the user that created it.

Obsolete?
If this field is checked, the record is considered Obsolete, and will not appear on the active notes list. Obsoleted Notes can be accessed by clearing the Notes Obsolete field (accessed via the Find Daat button). The Obsolete option can be cleared when necessary.

Important Fields: Lower Section

The free-form text on this screen may be entered and edited from the keyboard. The Windows Copy (Ctrl+C) and Paste (Ctrl+V) functions may be used to enter/edit data. Alternately, you may right click to pop up a menu with the options of Copy and Paste.  

To select an option with the mouse, click on that option. To exit the menu without a selection, click off of the menu.

To select an option with the keyboard, use the Up or Down arrow key to highlight the option, and then press Enter to select it. To exit the menu without making a selection using the keyboard, press Esc (Escape).

Notes text may be selected to copy by holding down the left mouse button while scrolling. The selected text may be copied via the right-click menu, or by pressing Ctrl+C.

The presence of the pipe character in a field causes the database to ignoring any following text. When you type a pipe character, a space will be now be inserted instead of the pipe. When you paste a string containing a pipe any pipe characters will be pasted as space characters.

Word Wrap is implemented in user Notes, and will automatically accommodate the text when the Notes viewer is resized.

Important Buttons:

image\SKIN1_SendEmail.gif When the Email button is clicked, the SAMPro mailer will appear. The Note Summary will be defaulted to the Subject, and the Note Text will appear in the body of the email. This functionality does not currently support UseOutlook.

When the email form is displayed, the Contact Id gives the user access to SAMPro Contact records and the email addresses contained in them. When a Contact record is selected, SAMPro automatically adds its main email to the list of existing recipients in the Email To field.  In addition, when the Contact record contains multiple addresses, they are added to the list of Email Addresses displayed when the user double-clicks in the Email To or CC fields. This allows users to select one of the Contact's secondary email addresses.

    The Save or Add Button on the side button bar must be used to save changes to Notes. If you attempt to close an Authored Note viewer without saving your notes, the system will prompt you to do so.
